Purpose and What Problem This Solves

The Notes module gives users a simple place to capture information that is useful but not heavy enough to become a project, ticket, or formal document. It helps prevent useful context from disappearing into chat or memory.

Plain-language rule: If a user can explain what record they are creating, why it exists, who owns it, and what happens next, they are ready to use the module responsibly.

What You Can Do Here

  • Record reminders, meeting takeaways, process observations, and quick references.
  • Capture informal research before converting it into a formal task or document.
  • Keep personal or team notes close to the ERP workspace.
  • Attach or reference supporting details when the note relates to a customer, task, or process.
  • Search past notes to recover context quickly.

Core Concepts and Terms

Learn these words first. Most user mistakes happen when a beginner opens a form without knowing what the record represents.

Note

A short text record containing useful context, reminder, or reference material.

Owner

The user who created or manages the note.

Visibility

Who can see the note according to module rules and permissions.

Search

The fastest way to find prior notes by title or content.

Beginner Quick Start

Use this first-run path in a training database or with a supervised account before handling live records.

  1. Open Notes and create a new note with a clear title.
  2. Write the key information first, then add details or links.
  3. Use consistent naming if the note belongs to a project, client, or recurring process.
  4. Update the note when facts change instead of creating many conflicting notes.
  5. Archive or delete notes that are no longer useful according to your policy.
Before using live data: confirm the module is enabled, your role has the right permissions, required master data exists, and you know the rollback or correction process for mistakes.

Standard Operating Procedures

These SOPs describe the routine operating pattern. Your company policy may add approvals, attachments, or segregation-of-duties controls.

Actor: Any permitted user

Create a useful note

  1. Choose a title that explains the content without opening the note.
  2. Write the outcome, decision, reminder, or reference in the first lines.
  3. Add context, links, names, dates, or next actions where helpful.
  4. Save and search for the note to confirm it can be found later.
Actor: User or manager

Turn a note into action

  1. Review the note and identify whether it requires a task, ticket, project, or document.
  2. Create the formal record in the correct module.
  3. Add a reference in the note so future readers know where work moved.
  4. Update or close the note when the action is complete.
Actor: Note owner

Clean old notes

  1. Review notes with stale dates, outdated instructions, or duplicated information.
  2. Keep notes that still explain a decision or contain useful reference material.
  3. Update outdated notes or convert them into formal documentation.
  4. Remove clutter according to retention policy.

Industry Notes and Good Practice

  • A note is best for lightweight memory. Use Projects for assigned work, Helpdesk for support, and Content for official published guidance.
  • Good notes are searchable. Put important nouns, dates, and outcomes in the title or first paragraph.
  • Do not store passwords, private personal data, or sensitive payroll details in casual notes.

Controls, Data Quality, and Review Checklist

Use this checklist during onboarding, monthly review, and process audits.

  • Notes have clear titles and enough context to make sense later.
  • Sensitive data is not stored in notes unless policy explicitly allows it.
  • Actionable notes are converted into tasks or tickets.
  • Stale notes are reviewed periodically.

Use Todo when there is a clear action to complete. Use Notes when you are capturing information or context.

Can notes replace documentation?

No. Important procedures should move into official docs once they stabilize.

Why can I not see someone else's note?

Visibility may be restricted by permission or ownership rules.

What makes a note beginner-friendly?

A clear title, plain words, dates, links, and a short summary at the top.
